The Administrative Assistant to the Director of Transportation supports the daily operations of the Transportation Department and ensures safe, reliable, and efficient pupil transportation services. This role requires strong organizational skills, attention to detail, and the ability to effectively communicate with staff, parents, and administrators.
Essential Duties and Responsibilities
The individual in this position will:
Assist the Director in the daily operation of pupil transportation.
Be fully trained to handle dispatching, routing, and other operational duties in the absence of regular staff.
Support investigations of accidents and/or bus stop safety concerns.
Immediately report bus safety issues or hazardous conditions to the Director.
Prepare and maintain mileage reports for route approval throughout the year.
Organize training and testing for new and existing drivers in compliance with local, state, and federal laws and policies.
Provide driver support before and after routes, answering questions and resolving issues.
Oversee scheduling, recordkeeping, and billing for athletic, activity, and field trips.
Communicate with drivers, parents, and administrators to resolve concerns.
Assist with incoming calls, inquiries, and complaints, ensuring timely follow-up.
Enter payroll, purchasing, and accounts payable for the Transportation Department.
Maintain training, licensing, and permit records for all drivers and aides.
Help coordinate emergency evacuation drills twice a year.
Answer parent questions regarding bus stops and routing information.
Work with bus drivers to update routes and communicate changes.
Effectively communicate both verbally and in writing with administrators, staff, and the community.
Perform other duties as assigned, consistent with the scope and intent of the position.
Qualifications
Strong organizational and problem-solving skills.
Ability to manage multiple priorities in a fast-paced environment.
Excellent verbal and written communication skills.
Knowledge of school transportation operations preferred.
Experience with scheduling, payroll, and recordkeeping systems a plus.
Working Conditions
Full-time, year-round position.
Must be available before and after school hours as needed.
