    The Administrative Assistant provides essential clerical and administrative support to the Operations Department. This role ensures efficient operation of departmental processes related to record keeping, financial transactions, data entry, communication, and coordination with both internal staff and external agencies.

    Essential Duties and Responsibilities 

    • Maintain a well-organized office environment, including accurate filing systems (digital and physical), document tracking, and records retention.
    • Manage the Executive Director’s calendar—scheduling appointments and confirming meetings.
    • Serve as a central point of contact between the Executive Director’s office and departments including Facilities, Maintenance, Grounds, Custodial, Food Services, Transportation, and the Police Department.
    • Facilitate clear and timely internal communication by distributing messages, tracking follow-ups, and organizing information flow between departments.
    • Order and manage supplies and other inventory as needed; process basic purchase requests.
    • Handle phone calls, emails, and other routine communications with professionalism and discretion.
    • Perform other related duties as assigned.

    Qualifications

    Education - High school diploma or equivalent required; associate degree preferred.

    At least 2 years of experience in an administrative support role, preferably supporting leadership.
